Feature Request: Change default session visibility status in newly created folders
Currently, when a new Panopto folder is created (via the user interface or bulk processes), the default session visibility setting is "Immediately". This poses a significant risk of Panopto recordings in that folder being unintentionally published to learners prematurely before the educator has the opportunity to check or edit the recording. The existing workflow requires educators to manually change the folder’s session visibility status to "never" immediately after folder creation, or adjust each new session individually, to prevent students from accessing Panopto recordings before the intended release time/date. This is especially the case if the educator forgets or overlooks the need to make the adjustments.
Requested Change
When a new folder is created, regardless of the method (UI or bulk creation), the folder’s default session visibility status should be set to "never".
Benefits
- Reduces the risk of unintentional early publishing of Panopto recordings.
- Eliminates the need for module owners to remember an additional manual step
- Provides a safer, more predictable default behaviour aligned with typical academic workflows
Thank you for considering this improvement.

Comments
Hey, Tel!
Great news: This is already available on our platform so that you can make the shift to your ideal workflow immediately.
Anyone with Admin access to your site can go into the Site settings. From there, you can automatically set all new folders and subfolders videos to require a publisher's approval. That means any content created in that folder will require either the Folder's Creator, a Publisher, or an Admin to approve it, keeping it hidden until one of those users approves the video.
(Here's what the settings look like)
This may help with the consistent pressure from your instructors to remember to approve videos, too. They will automatically be given the Publisher role for that folder if they are the one to create that folder. That way, they will receive automatic emails when a video is added to that folder that needs approval (as all Publishers do).
If the instructor is not the folder's Creator, they can still be manually granted the Publisher role by the folder's Creator or an Admin via the folder's Share menu.
(Here's an example of what the automatic email will look like. The second link will take them directly to the video.)
Do note that this will not apply to any existing folders; only new folders/subfolders created after enabling this feature. If you would like to make this change across multiple, already existing folders, please reach out to our support team.
